Summary Provides administrative support for management in a well-organized and confidential manner. Deals with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload. This position requires superior attention to detail, great organizational skills, and the ability to meet tight deadlines while managing multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. Essential Duties and Responsibilities include the following. Other duties may be assigned. Performs administrative and clerical duties such as scheduling appointments, providing information to callers, taking dictation, composing and typing correspondence, and filing. Performs duties such as coordination of meetings and conferences, ordering supplies and working on special projects. Takes messages or fields/answers all routine and non-routine questions, or directs the person/matter to the appropriate sources. Schedules, coordinates and organizes activities such as meetings, travel, conferences and departmental events. Maintains office supplies by checking stock to determine inventory levels, anticipate requirements, place and expedite orders, and verify receipt of ordered items. Prioritize competing demands and demonstrate the highest level of customer services. Must be able to multi-task and work on a tight deadline. Supervisory Responsibilities This job has no supervisory responsibilities. Experience and/or Education Two years related experience and/or training; or equivalent combination of education and experience. Must have strong knowledge of MS Word and basic knowledge of Excel. Must have strong phone and interpersonal skills. Age Requirement Must be at least 21 years of age. Language Skills Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions, percentages, and area. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
