This position requires a resourcefulness, administrative skills, ability to prioritize and multi-task, change management and adaptability, excellent communication skills, collaboration and team building and the highest degree of confidentiality. **Responsibilities:** + Maintain PDS team members calendar and arrange necessary travel. + Process expense reports and follow up as needed. Answer Team phone(s), take messages, and assist with any meetings or return messages as requested. + Create meeting agendas, prepare meeting minutes and notes, attend various meetings at the Task Leaders request to take notes and identify items for follow up. + Create work instructions to aid in the performance of daily administrative work. Maintain meeting room calendar and scheduling, reserve equipment, and assist with webinars as needed. + Issue requests for action or information to appropriate staff, interpret requests and help resolve issues or implement action. Review transmittals and materials prepared by others for signature. + Maintain tracking systems for incoming and outgoing correspondences, requests, reports, contract modification forms, etc. + Assist with or coordinate completion of various deliverables. Assist in the preparation of policies and procedures. Compose and prepare reports requiring a basic understanding of technical matters. + Create, format, and maintain other key documents as required. + Assist Program Services Team members with various projects and requests such as drafting various letters and forms and assisting with work plan change requests and notices of acceptance as requested. **Minimum Requirements** + HS + 6 years of relevant experience or demonstrated equivalency of experience and/or education **Preferred Qualifications** + Strong experience working in Microsoft Word, Excel, Outlook, and PowerPoint + Experience composing and preparing correspondence and reports + Demonstrated excellent verbal and written communication skills, and experience + Experience managing multiple and changing demands, details, and deadlines **What We Offer** We will give you the flexibility you need to do your best work with hybrid work options.
