Join us and let’s get started. **Job Description** **AECOM** is seeking an **Administrative Records Manager** to be based in **Sacramento, CA, or Houston, TX.** The position is open to remote work. **JOB SUMMARY:** The Administrative Records Manager provides a variety of complex and sensitive administrative tasks requiring a high degree of independent action, initiative, discretion, and tact to assist the team. **JOB RESPONSIBILITIES:** + Assists the regional teams with the development of the Administrative Record (AR) for each environmental document by collecting emails and documents from staff to include in the AR and performing audits complying with the client’s recordkeeping requirements. + Assists the environmental and permitting team with document processes, document research, and document control in the client’s electronic document management system, SharePoint. + Manages document reviews and workflows between the client, legal, regional sections, and permitting teams. + Assists the Special Projects Environmental Manager in monitoring labor activity and other documentation related to the client’s technical review of environmental documents. + Provides the Special Projects Environmental Manager and other staff with documents and materials for meetings. + Prepares, distributes, and maintains files of executive correspondence, administrative reports, and assignments. + Works with the Information Technology (IT) office to implement the use of Relativity, a software program designed to facilitate the culling, sorting, and categorizing of AR records for delivery to outside counsel for defending the legal sufficiency of environmental documents. + Provides training and technical support to the environmental and regional teams for their use of SharePoint, Relativity, CommentSense, and other project applications. **Qualifications** **MINIMUM REQUIREMENTS:** + BA/BS + 4 years of relevant experience or demonstrated equivalency of experience and/or education **PREFERRED QUALIFICATIONS:** + 5 years of Records Management/Document Control experience. + Knowledge of principals, problems, and methods of public/business administration including office management principles/methods/procedures and statistical research methods. + Ability to work independently, productively, and collaboratively in a dynamic, fast-paced work environment with multiple deadlines and stakeholders. + Carry out assignments without detailed instructions and with inflexible deadlines. + Appropriately handle confidential and/or legal materials and communications. + Analyze business processes and identify the need for developing proposed changes to operating practices, programs, and policies. + Excellent interpersonal and communication skills. + Strong attention to detail and organized. + Proficiency in using Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Professional. **Additional Information** + Offered rate of compensation (California locations only) will be based on individual education, qualifications, experience, and work location.
