Job Title: Assistant Building Manager
Classification: Part Time Hourly – Non-Exempt

Position Overview
The Assistant Building Manager reports directly to the Building Manager and provides administrative and facility support services that help to ensure the smooth operation of the building and successful execution of events. This position is responsible for managing a significant portion of the event booking and coordination process, including contracts, payments, scheduling, event documentation, and maintaining accurate electronic and office records. In addition to administrative responsibilities, the Assistant Building Manager supports event setup and management, monitors the proper use and condition of the facility, addresses questions or concerns, and assists with resolving issues that may arise during events. The role also supports day-to-day office operations by maintaining files, supplies, inventory, and human resources documentation, as well as assisting the Building Manager with marketing activities and facility-related projects. This is a part-time, hourly, non-exempt position with an expected schedule of approximately 35 hours per week. Because event activities may occur throughout the week, including evenings and weekends, the schedule is flexible and will be based on the building’s event calendar and operational needs.
Essential Job Functions
Administration and Coordination – 60%
Manage the administrative process for facility rentals and events, including preparing and processing event contracts, collecting and recording payments, and monitoring contract status.
Create and maintain organized electronic and physical event files, including event folders and documentation for facilities staff.
Schedule and coordinate appointments for facility tours, contract meetings, event planning, and other related activities.
Monitor event receivables and follow up on outstanding balances as needed.
Complete event close-out documentation and maintain accurate records related to completed events.
Provide general administrative support throughout the event planning and coordination process.
Facility and Event Support – 25%
Serve as a primary point of contact for event hosts during rental periods and provide professional, responsive customer service.
Monitor facility use to ensure events are conducted in accordance with rental agreements, facility policies, and established procedures.
Assist with event setup, strike, and general event support as needed.
Conduct routine facility checks, including restrooms and common areas, and communicate maintenance or operational concerns to the Building Manager.
Respond to questions, concerns, and facility-related issues during events and assist with resolving problems in a timely and professional manner.
Reporting and Administrative Records – 5%
Prepare and maintain routine administrative reports, including payroll, project, effort, and other operational reports.
Ensure reports and related documentation are accurate, complete, and submitted in a timely manner.
Office Administration and Supplies – 5%
Maintain organized office files, records, and shared workspaces.
Monitor and maintain supplies for the office, workroom, and conference room, including tracking usage and replenishing consumable items as needed.
Marketing Support – 5%
Assist the Building Manager with organizing, updating, and maintaining marketing materials, calendars, communications, and other components of the organization’s marketing program.
Other Duties
Perform other related duties and responsibilities as assigned to support the operational needs of the organization.
Qualifications:
Education: High school diploma, GED, or equivalent. College level course work preferred.
Administrative experience: 3-5 years of office, administrative, or clerical experience.
Computer skills: Microsoft Word, Excel, and Outlook.
Organization: Reliable, organized, and able to manage multiple responsibilities.
Customer service: The ability to work with a broad variety of individuals including internal stakeholders, event hosts, other employees, and the public.
Physical requirements: Able to lift 50 lbs and remain on your feet for extended periods.
Social media: Familiarity with social media platforms is preferred.
Special events including stagecraft knowledge: Familiarity with stage lighting, sound, event set up and production is preferred.
Facilities knowledge: Familiarity with building systems such as electrical, plumbing, PA systems, etc. is preferred.
